Privacy Policy

SWP Consultant, operated by 9556-4043 Québec inc. ("SWP Consultant", "we"), takes the protection of your personal information seriously. This policy explains what information we collect, why, how we use and protect it, and what your rights are. It is adopted in accordance with Quebec's Act respecting the protection of personal information in the private sector, as amended by Law 25.

2. Personal information we collect

Depending on how you interact with our site, we may collect:

  • Your contact details: name, email address, and any information you voluntarily provide (by email, form, or when booking an appointment);
  • The content of your exchanges with our conversational assistant ("chatbot");
  • Technical information related to your browsing (IP address, device type, pages viewed), through cookies, only with your consent for non-essential cookies.

3. How we collect this information

  • By email, when you write to us;
  • When booking an appointment ("Book a call"), processed through Microsoft (Outlook / Bookings);
  • Through our conversational assistant integrated into the site;
  • Through cookies and similar technologies (see section 7).

4. Purposes — why we use it

  • Respond to your requests and communicate with you;
  • Schedule and hold appointments;
  • Provide and improve our consulting services;
  • Measure traffic and improve our site (statistics), with your consent;
  • Comply with our legal obligations.

We collect only the information necessary for these purposes. Where information is optional, you may choose not to provide it; where it is necessary to respond to your request, not providing it may prevent us from doing so.

5. Consent

We collect and use your personal information with your consent, given freely and on an informed basis for specific purposes. You may withdraw your consent at any time by contacting the person responsible (section 1), subject to information we must retain for legal reasons.

6. Privacy settings by default

Features of our site that could identify, locate, or profile you (for example statistics and marketing cookies) are turned off by default. They are activated only with your explicit consent.

7. Cookies and tracking technologies

A cookie is a small file placed on your device. We classify cookies into four categories: functional, preferences, statistics, and marketing.

  • Strictly necessary / functional cookies are active without consent, as permitted by law;
  • Preferences, statistics, and marketing cookies are placed only after your consent, given through our cookie banner.

You may accept, refuse, or customize your choice at any time through the banner or cookie settings. Refusing is as easy as accepting.

Measurement tool used: Google Analytics (via the Google Site Kit plugin). Google may process this data outside Quebec, notably in the United States. These cookies are activated only with your consent.

8. Conversational assistant (chatbot)

Our site offers a conversational assistant to answer your questions. The messages you enter are processed by Anthropic ("Claude" technology), whose servers are located in the United States, therefore outside Quebec (see section 10). Do not enter sensitive or confidential personal information. We use the content of these exchanges only to respond to your request. This content is transmitted to Anthropic, which processes it in accordance with its own service and retention terms.

9. Sharing with third parties

We do not sell your personal information. We may entrust it to service providers acting on our behalf and only for the purposes described above, namely:

  • Microsoft (email, calendar, and appointment booking);
  • Hostinger (hosting of our website);
  • Anthropic (the "Claude" conversational assistant — section 8);
  • Google (Analytics audience measurement — section 7), with your consent.

These providers are contractually required to protect your information and use it only for the services they provide.

10. Information communicated outside Quebec

Some of our providers (section 9) store or process your information outside Quebec: Google (Analytics) and Anthropic (Claude) in the United States, and Microsoft, which stores data at rest in its Canadian data centres; this information therefore remains outside Quebec. Before any such communication, we carry out a privacy impact assessment (PIA) to ensure your information receives adequate protection.

11. Retention and destruction

We keep your personal information only as long as necessary for the purposes for which it was collected, or for the period required by law, after which we securely destroy or anonymize it. Emails, requests, and appointment data are kept as long as necessary to handle your request and our business relationship, then deleted.

12. Security

We take reasonable security measures — technical, physical, and organizational — to protect your personal information against loss, theft, and unauthorized access, proportionate to its sensitivity.

13. Your rights

Under Law 25, you have the right to:

  • Access the personal information we hold about you;
  • Have inaccurate, incomplete, or ambiguous information corrected;
  • Withdraw your consent to its use;
  • Request that information about you stop being disseminated or be de-indexed in certain cases;
  • Obtain, in certain cases, your information in a structured, commonly used technological format (portability);
  • File a complaint with the Commission d'accès à l'information du Québec (CAI).

14. How to exercise your rights

To exercise any of these rights, write to the person responsible (section 1) at nelson.pires@swpconsultant.ca. We will respond within the time limit set by law, namely no later than 30 days after receiving your request, subject to the exceptions and restrictions provided by law. We may need to verify your identity before acting on your request.

We may amend this policy. Any updated version will be published on this page with its update date.
